Organization Roles
ADMIN, CREATOR, COLLABORATOR, and GUEST roles explained
Organization roles control access to your workspace. Everyone in your organization has exactly one organization role.
The Four Roles
ADMIN - Full Control
Access Level: 0 (highest)
Who needs this: 1-2 people who manage the organization (VP Sales, Sales Ops Leader, Admin)
What they can do:
- Everything - Full access to all features and settings
- Create Decision Sites
- Edit any Decision Site (even if not shared)
- Manage organization settings (name, billing, integrations)
- Add/remove organization members
- Change anyone's organization role
- Access all teams (bypasses team OWNER restrictions)
- Manage teams (even if not team OWNER)
- View all analytics
- Access AI Assistant
- Access Agents (workflow automation)
Navigation:
- Home (Relationship 360)
- Meetings
- AI Assistant
- Agents (if Augment employee)
- Full settings access
When to use:
- Person manages organization-wide settings
- Person handles billing and subscriptions
- Person needs access to everything for support/troubleshooting
When NOT to use:
- Regular sales reps (use CREATOR)
- Support team members (use COLLABORATOR)
- External users (use GUEST)
Important: Limit ADMIN to 1-2 people. Too many ADMINs creates security and management issues.
CREATOR - Create Decision Sites
Access Level: 1
Who needs this: Internal team members who own deals and create Decision Sites (Account Executives, Sales Reps)
What they can do:
- Create new Decision Sites
- Own and manage their Decision Sites
- Edit Decision Sites shared with them
- Access teams they're members of
- View organization analytics
- Access AI Assistant
- Access Meetings calendar
- Invite external users to their Decision Sites
What they CAN'T do:
- Change organization settings
- Manage billing
- Change other people's roles
- Access Decision Sites not shared with them (unless owned)
- Manage teams they don't own
- Delete the organization
Navigation:

- Agents (if Augment employee)
- Limited settings (own profile, teams)
When to use:
- Sales reps creating Decision Sites for their deals
- Account managers owning customer relationships
- Anyone who needs to create and own Decision Sites
When NOT to use:
- Support team who only edits (use COLLABORATOR)
- External users (use GUEST)
- People who need full org access (use ADMIN)
COLLABORATOR - Edit Shared Content
Access Level: 2
Who needs this: Internal team members who support deals but don't own them (Sales Ops, Sales Engineers, Customer Success)
What they can do:
- Edit Decision Sites shared with them
- Access teams they're members of
- View organization analytics
- Access AI Assistant
- Access Meetings calendar
- Comment and collaborate on shared content
What they CAN'T do:
- Create new Decision Sites
- Change organization settings
- Manage billing
- Change other people's roles
- Access Decision Sites not shared with them
- Manage teams (unless team OWNER)
- Delete the organization
Navigation:
- Home (Relationship 360)
- Meetings
- AI Assistant
- Limited settings (own profile, teams)
When to use:
- Sales ops team supporting multiple deals
- Sales engineers contributing technical content
- Customer success managers helping with onboarding
- Anyone who edits but doesn't create Decision Sites
When NOT to use:
- People who need to create Decision Sites (use CREATOR)
- External users (use GUEST)
- People who need full org access (use ADMIN)
GUEST - View Only
Access Level: 3 (lowest)
Who needs this: External users (buyers, customers, partners)
What they can do:
- View Decision Sites shared with them
- Access home page (Relationship 360)
- See special "What's Decision Site?" help button
- View artifacts shared with them
- View milestones and action items they're assigned to
What they CAN'T do:
- Create Decision Sites
- Edit content (read-only)
- Access Meetings calendar
- Access AI Assistant
- Access Agents
- See other organization members (only contacts from shared sites)
- Change any settings
- Invite other people
Navigation (very limited):
- Home (Relationship 360) only
- Special pulsing help button "What's Decision Site?"
- NO Meetings tab
- NO AI Assistant tab
- NO Agents tab
- NO Settings (except profile)
When to use:
- External buyers viewing Decision Sites
- Customer stakeholders participating in deals
- Partners who need view access
When NOT to use:
- Internal team members (use CREATOR or COLLABORATOR)
- Anyone who needs to edit content
Important notes:
- GUEST users cannot be upgraded to other roles directly
- To change GUEST to CREATOR/COLLABORATOR/ADMIN, you must re-invite them
- GUEST is assigned automatically to external email addresses

*Agents access requires being an Augment employee
Changing Roles
Who Can Change Roles
Only ADMINs can change organization roles.
Exception: Users can request role changes, which sends notification to ADMINs for approval.
How Roles Change
ADMIN can change any role to any other role → Except GUEST (see below)
GUEST cannot be upgraded directly → Must re-invite the user with new role
Role changes take effect immediately → User sees new permissions on next page load
Special Cases
Downgrading ADMIN → Allowed, but system prevents removing the last ADMIN
Self-service role requests → Users can request higher access (COLLABORATOR → CREATOR) → ADMINs receive email notification → ADMIN must approve before change takes effect
Domain-based auto-approval → If organization has domain rules, some role changes may auto-approve
Navigation Differences
ADMIN, CREATOR, COLLABORATOR See:
- Home (Relationship 360)
- Meetings (with today's meeting count badge)
- AI Assistant
- Agents (ADMIN/CREATOR only, if Augment employee)
GUEST Sees:
- Home (Relationship 360) only
- Special pulsing help button "What's Decision Site?"
- NO other navigation items
Visual cue: GUEST users see a pulsing purple help icon on first visit.
Common Scenarios
Scenario 1: New sales rep joins
Recommended role: CREATOR
Why:
- Needs to create Decision Sites for their deals
- Should own their customer relationships
- Doesn't need org-wide admin access
Scenario 2: Sales ops person joins
Recommended role: COLLABORATOR
Why:
- Supports multiple deals but doesn't own them
- Needs to edit shared Decision Sites
- Doesn't create new sites
Scenario 3: VP Sales joins
Recommended role: ADMIN
Why:
- Needs to see all deals
- Manages org settings and team structure
- Handles billing and integrations
Scenario 4: Customer executive invited
Automatic role: GUEST
Why:
- External email address = automatic GUEST
- View-only is appropriate for buyers
- Can upgrade later if needed (rare)
Best Practices
Keep ADMINs limited → 1-2 people maximum → Reduces security risk and confusion
Most internal users should be CREATOR → Unless they specifically don't need to create Decision Sites
Use COLLABORATOR for support roles → Sales ops, sales engineers, customer success
All external users are GUEST → Don't make exceptions without strong justification
Review roles quarterly → Remove access for departed team members → Adjust roles as responsibilities change
Common Misunderstandings
"Everyone needs ADMIN to do their job" → Wrong. ADMIN is only for org-wide management. CREATOR handles 90% of sales tasks.
"GUEST can't do anything" → Wrong. GUEST can view Decision Sites, see home page, access shared content.
"COLLABORATOR is less important than CREATOR" → Wrong. Different roles for different functions. Sales ops COLLABORATOR is as valuable as sales rep CREATOR.
"I can upgrade GUEST to CREATOR by changing role" → Wrong. Must re-invite GUEST users to upgrade them.
Troubleshooting
"I can't create Decision Sites" → Check your role - must be ADMIN or CREATOR
"I can't see Meetings tab" → Check your role - GUEST doesn't have Meetings access
"I can't change someone's role" → Only ADMINs can change roles
"I invited someone but they're GUEST instead of CREATOR" → External email addresses default to GUEST - use domain rules or re-invite
