Understanding roles and access control in Decision Site

Roles control what people can see and do in your organization. There are three types of roles working together: Organization Roles (who can access your workspace), Team Roles (who manages teams), and Contact Roles (how stakeholders are categorized in deals).

The Three Role Types

Organization Roles

Control access to your entire workspace.

Four levels:

  • ADMIN - Full control, manage everything
  • CREATOR - Create and own Decision Sites
  • COLLABORATOR - Edit shared content
  • GUEST - View-only access

What they control: Who can create Decision Sites, access teams, change settings, invite members.

Team Roles

Control team management and membership.

Two levels:

  • OWNER - Manage team settings and members
  • MEMBER - Access team content

Contact Roles

Categorize stakeholders in your deals.

Nine types:

  • BUYER / SELLER - Which side of the deal (affects Deal Pulse scoring)
  • DECISION_MAKER - Final approval authority
  • INFLUENCER - Affects decision
  • CHAMPION - Internal advocate
  • GATEKEEPER - Controls access
  • BUYER_ADMIN / BUYER_CONTRIBUTOR / BUYER_REVIEWER - Buyer-side roles

Common Questions

"Which organization role should I give my team?" → Most internal team members should be CREATOR or COLLABORATOR. Reserve ADMIN for 1-2 people who manage settings.

"What's the difference between CREATOR and COLLABORATOR?" → CREATOR can create new Decision Sites. COLLABORATOR can only edit sites shared with them.

"Can I change someone's role later?" → Yes, ADMINs can change roles at any time (except GUEST, which requires re-invitation).

"Why does BUYER role matter?" → Buyer activity counts 1.5x in Deal Pulse scoring, so correctly marking buyers improves score accuracy.


Where Roles Appear

In the Product:

  • Settings → Organization Members - View and edit organization roles
  • Settings → Teams - View and edit team roles
  • Contacts - Assign contact roles to stakeholders
  • Navigation - Different roles see different menu items
  • Decision Site Access - Roles determine what you can create, edit, view

In Analytics:

  • Deal Pulse scoring (BUYER vs SELLER roles get different weights)
  • Stakeholder diversity (counts unique roles)
